ABOUT THE FOOD DRIVE
1. What is the Governor’s State Employee Food Drive?
In the spring of 1979, Governor Atiyeh initiated Oregon Food Share, the first statewide food distribution network in the nation and the predecessor of the Oregon Food Bank Network, This was in response to federal cutbacks in food stamp allotments, now referred to as SNAP. Then in 1982, Governor Atiyeh started the Governor's State Employees Food Drive, calling on every state agency to sponsor a food drive "to reduce the suffering of those without adequate food resources" and "to show that true Oregonians believe that we can and do help our friends and neighbors in need."
Western Oregon University is part of region six along with the other institutions in the Oregon University System (OUS). WOU has gathered the most food and funds per employee out of OUS for seven consecutive years – let’s make it eight and support those in need!
At the end of the food drive, each department’s total funds and food raised (remember that a $1 donation equals four pounds of food) is calculated then divided by the number of employees in the department. The department with the most pounds per employee wins a pizza party sponsored by the President’s Office.

2. What are the dates of the food drive?
The food drive runs each February. WOU coordinators will collect funds and food donations on the first working day of March. Each department coordinator will be contacted with details about when and how this will happen.
3. How do I get involved?
Each department on campus has a coordinator. If you aren’t sure who your coordinator is, email or call one of the campus coordinators who can find that out for you. See that list below.
Talk to your department coordinator to find out if your area is planning any fundraisers or other events. You can also sign up for a payroll deduction and meet the Governor’s Challenge, which is a monthly donation of $10 over 10 months or a one-time gift of $120. You can also become a sustainer for the Marion-Polk Food Share by signing up for an ongoing monthly donation. If you are already a sustainer, you can get credit for your department by filling out this form.
Pros: 1) provides immediate relief to food banks and the families they serve as the food can be placed in a food box right away, 2) you can donate non-stale food products (see limitations on food donations) from your home.
Cons: 1) food must be stored and hauled, which is more difficult than donating money, 2) food donations don’t go as far as monetary donations (keep reading for more detail on this).
Pros: 1) Food banks can negotiate food prices at a much lower rate than what one spends at a grocery store for food. So instead of spending $.75 for a can of green beans, a food bank may be able to get several cans so your donation goes further. 2) There are some minor administrative costs (overhead, utilities for refrigerated food, etc.) associated with food banks and financial donations help with those costs.
Cons: 1) There is some delay in turning the money in to food so it doesn’t help as immediately.

1. I’m a department coordinator, what do I do with donations?
When you collect cash, take it over to the Cashier’s Office in the Administration Building. Tell them what department the funds are to be credited to, and keep the receipt they give you. Make these deposits regularly so you don’t have to worry about keeping cash safe in your office. At the end of the food drive, gather your receipts and fill out the count sheet. Contact one of the campus coordinators if you have any questions.
2. Who should checks be made out to?
It is preferred that checks are made out to Western Oregon University so they can be deposited at the cashier’s window. This is the safest method so no departments responsible for holding on to checks. Funds deposited will support the Ella Curran Food Bank in Independence. If you’d like to direct your money to another food bank, you can write the check out to that place. However, please consider doing a payroll deduction form, which can be directed to Ella Curran, Marion-Polk Food Share, or Linn Benton Food Share.
3. How do payroll deductions work?
Each year, the Governor issues a challenge to state employees to donate $144 over a year. This can be done with a monthly payroll deduction of $12 or a one-time donation of $144.
4. I’m already a sustainer for the Marion-Polk Food Share, how can my department get credit for that?
All you have to do is fill out a simple form and submit it to your department coordinator.
5. Can I solicit donations from grocery stores, vendors, or other sources?
Absolutely! Please work with Cara Groshong in University Advancement (8-8148 or firstname.lastname@example.org) to discuss detail about tax credit and rules associated with these types of donations.
1. How can I promote our fundraising activities and events?
There are several ways you can promote your activities:
-go through the Information Desk at Werner University Center to have approved posters placed on billboards around campus,
-send emails to the faculty/staff list serv,
-send fliers to employees via campus mail,
-or submit your event to the campus event calendar
2. Can our office solicit students for donations?
You cannot directly solicit to students. This means that you can’t sent an email to the student list serv, talk to classes, or promote directly to the residence halls, but you can use the methods above.
3. What are the rules for doing a raffle or other gaming activities?
If you are interested in doing a raffle, door prize or gaming activity, please contact Cara Groshong in University Advancement (8-8148 or email@example.com) to ensure you are following state and federal regulations.
The difference between a raffle and door prize is that you charge for raffle tickets, but door prize tickets are given just for being in attendance. There are rules you must know about costs associated with raffles and forms that need to be filled out, so be sure to contact Cara.
4. When can we start fundraising?
You can begin planning for your events now! You may begin to promote events prior to Jan. 30, but any fundraising activities/events must be held during the actual food drive period.
