Last Date of Attendance Field on Final Grade Roster

Changes in financial aid regulations for Return of Title IV funds mandate that our current procedure for populating the Last Date of Attendance field on the final grade roster be modified. These changes will become effective with summer 2012 grade processing and continue for all future terms.

A document which outlines the new instructions for the Last Date of Attendance field and how this field should be populated is available online under Faculty Resources at http://virginiawestern.edu/facstaff/. This information is also available in the My VWCC Survival Guide at http://virginiawestern.edu/studenthelp/faculty/recordgrades.php

All faculty should review this document and become familiar with these changes. Failure to populate this field correctly could result in significant issues for the student and the college.

Updating Personal Information in PeopleSoft HRMS

All Full-Time {Staff & Faculty} and Part-Time {student, non-student, FWS, adjunct} employees:

Did you know you can maintain your personal information (address, phone numbers, emergency contacts, etc.) in PeopleSoft? 

Generic navigation steps are as follows:  Login to PeopleSoft > Self-Service > Personal Information > Personal Information Summary

Visit this link on VWConnect and then select the appropriate "HRMS Checklist" based on your primary employment status (full-time or part-time) to view specific steps for updating your personal information. 

Please take a few moments and follow the checklist to ensure your personal information is accurately reflected in PeopleSoft.

Women Needed for American Voters Poll

Melena Mara, a photojournalist with the Washington Post is looking for women to participate in the American Voters Poll in Virginia Series. STAFF SENATE MEETING & LUNCHEON – July 12th

The Staff Senate Meeting & Luncheon will be held on Thursday, July 12th, 11 a.m. to 12:30 p.m. at the Natural Science Center. Join us for a meeting and luncheon set with a country fair theme.

A catered meal will be provided with an assortment of tossed and pasta salads, sandwiches, watermelon, Deb's lemonade and more!

Test your skills in the Best Dessert Contest, Watermelon Seed-Spitting Contest or the Pie Eating Contest. To enter the Best Dessert Contest, just bring your favorite dessert and a panel of sweet-toothed judges will judge the culinary creations and declare a winner. The judges reserve the right to second helpings in order to make an unbiased and impartial decision.

This is an opportunity for full- and part-time classified staff to join together to plan for the coming academic year and vote on speaker and training topics for upcoming Staff Senate meetings. All full- and part-time classified staff are encouraged to attend. Special Medical Flexible Reimbursement Account Enrollment

A Special Medical Flexible Reimbursement Account Enrollment is from June 7 until June 22.  During this time you are able to enroll in or make changes to a Medical Flexible Reimbursement Account. 

Guidance from the U.S. Internal Revenue Service (IRS) on May 30 and conversations between the Department of Human Resource Management and IRS officials confirmed that the federal health reform limit of $2,500 for Medical FRAs will not impact the state health benefits program until July 1, 2013.  For the upcoming plan year, the maximum Medical FRA contribution will be $5,000 rather than $2,500.

As a result of the IRS notice, and to give as much flexibility to employees as possible, the Special Enrollment will be held for employees to:

  • Enroll in a Medical FRA if they did not do so during the May Open Enrollment.
  • Increase, reduce or cancel a Medical FRA set up during the May Open Enrollment; or
  • Take no action and keep the Medical FRA election made for the July 1, 2012 plan year.

EmployeeDirect will not be available for Special Enrollment elections.  To enroll in or make changes to a Medical FRA during the Special Enrollment, please either download and print the State Flexible Benefits 2012 Special Enrollment Form found on the DHRM website at http://www.dhrm.virginia.gov/documents/StateSpecialEnrollmentForm2012.pdf or obtain an enrollment form from Human Resources. 

All enrollment forms need to be either delivered and received by Human Resources no later than 5:00 p.m. on Friday, June 22, 2012 or mailed with a U.S. Mail postmark of June 22, 2012 to:
