Special Enrollment to be Held for Medical Flexible Reimbursement Accounts

A Special Enrollment begins today, June 7 until June 22 to enroll in or make changes to a Medical Flexible Reimbursement Account. 

Guidance from the U.S. Internal Revenue Service (IRS) on May 30 and conversations between the Department of Human Resource Management and IRS officials confirmed that the federal health reform limit of $2,500 for Medical FRAs will not impact the state health benefits program until July 1, 2013.  For the upcoming plan year, the maximum Medical FRA contribution will be $5,000 rather than $2,500.

As a result of the IRS notice, and to give as much flexibility to employees as possible, the Special Enrollment will be held for employees to:

  • Enroll in a Medical FRA if they did not do so during the May Open Enrollment.
  • Increase, reduce or cancel a Medical FRA set up during the May Open Enrollment; or
  • Take no action and keep the Medical FRA election made for the July 1, 2012 plan year.

EmployeeDirect will not be available for Special Enrollment elections.  To enroll in or make changes to a Medical FRA during the Special Enrollment, please either download and print the State Flexible Benefits 2012 Special Enrollment Form found on the DHRM website at or obtain an enrollment form from Human Resources. 

All enrollment forms need to be either delivered and received by Human Resources no later than 5:00 p.m. on Friday, June 22, 2012 or mailed with a U.S. Mail postmark of June 22, 2012 to:

Schedule Adjustments for Full-Time Employees

Virginia Western’s standard work week is Friday through Thursday, with rest days on Saturday and Sunday. The standard work schedule for full-time employees is five, eight-hour days.  Employee work schedules are established by the immediate manager to meet departmental needs and alternate work schedules may be established if deemed appropriate and necessary; however, alternate work schedules shall be approved by the Human Resources Director prior to any implementation.

Full-Time Employee schedules, including those assigned to alternate work schedules, are currently set up in PeopleSoft HRMS to assist with Absence Management requests. If an employee’s schedule is not correct in PeopleSoft HRMS, or if the schedule changes in the future, the “ Normal Work Schedule” Form should be completed and then forward to the Human Resources Department. Upon approval by the Human Resources Director, the Payroll Department will then enter the employee’s new schedule in PeopleSoft HRMS.

Note:  The Absence Management portion of PeopleSoft HRMS will not process absence requests properly if an employee’s schedule is not correctly set up in PeopleSoft HRMS.  It is imperative that if and when a full-time employee’s schedules changes, the above procedures be followed timely to ensure absence requests transmit properly.

VWCC Motorsports Update!

The VWCC Motorsports Team arrived in Madison, Wisconsin in the early morning hours of Wednesday, June 6, to participate in the 2012 SAE Baja Competition. The team spent the day working diligently on the car in preparation of the big competition which will host over 100 four-year universities and community colleges internationally. The event will start Thursday, June 7 at 8 a.m.  with registration, technical inspections, the governor's inspection and practice.
