What Your Registration Fee Covers

Update [3/2/2012]: This conference has reached capacity and registration is now closed.

The $95 early bird registration fee is offered to all employees of the VCCS, including full time, adjunct, administrative, classified and hourly staff. Each attendee will receive conference materials, one night’s lodging and tax per attendee, plus the following meals: Wednesday, March 21 - opening luncheon and evening reception; Thursday, March 22 - breakfast, lunch, reception and dinner; and Friday, March 23 - breakfast. We do not cover a second night’s lodging, meals other than specified, mileage or parking.

Anyone wishing to avoid paying out of pocket for the second night is encouraged to room with a colleague, so that both may benefit from each other’s free night.

Invoicing

Update [3/6/2012]: If you are paying for your own registration, you will receive an individual electronic invoice. Invoices will be sent after the conference has ended.

Cancellation Deadlines

The cancellation deadline for participant registration is February 28, 2012.

  • Cancellations received between February 29, 2012 and March 12, 2012 will be charged a $50.00 processing fee.
  • Cancellations received after March 13, 2012 will be charged the full registration amount.

Once you or your college receives the invoice, you/they may pay by check. We currently do not take credits cards for payment. Specific details regarding who to make the check out to will be explained on the invoice.

Hotel reservations/cancellations are separate and the responsibility of the attendee.

Overflow Hotel Information

Update [2/17/2012] - A new room block has just opened for VCCS New Horizons attendees!

The Hyatt Place Roanoke is located at 5040 Valley View Blvd. North NW, Roanoke, Virginia 24012. Shuttle service will be available between the Hyatt and Hotel Roanoke to get you to and from the conference every day.

Reservations can be made:

  • Online - Visit www.hyattplaceroanoke.com. Enter your dates of stay. In the box labeled "Group/Corp #" enter G-NHVC.
  • By Phone - Call (888) 492-8847.

Please be prepared to guarantee your reservations with a personal credit card number. One night’s charge for lodging and tax will be billed the VCCS master account upon check-in. Those booking as a single will be charged $96 for each additional night; those rooming with a VCCS colleague are entitled to two nights’ coverage.

A limited number of rooms are available. Don’t delay! Please make your reservations before Wednesday, February 29, 2012.

Update [2/13/2012] - The VCCS New Horizons staff has been notified that all overflow rooms at the Sheraton Roanoke Hotel are filled. Please know we are working diligently to obtain another block of rooms at the Sheraton. We will post another update with the room block information soon. Thank you for your understanding and patience.

All overflow rooms are at the Sheraton Roanoke Hotel. To make your reservation, please call the direct hotel phone number, (540) 563-9300, during normal business hours and be sure to ask for the New Horizons room block. Reservations are open until February 28th. The hotel has been completely renovated and upgraded. Rooms with two queen beds are currently available at $99/night with free high speed Internet and parking included, and a standard 72-hour cancellation policy. In case of booking difficulties, please contact Jamie Goetzinger at the Sheraton Roanoke and she will be happy to assist you.

We will also have a dedicated shuttle service running between the Hotel Roanoke and Sheraton Roanoke for the duration of the conference. Reservations are being accepted now. Please be sure to ask for New Horizons room block.

Shuttle Information

Our free door-to door shuttle service is again being provided by Roanoke Airport Transportation. All vehicles will be white 15 passenger vans with identifying signage in the windows. The shuttles will run continuously between just the two hotels. You should never experience more than a 15-minute wait for a ride. Shuttle service will commence its first pick-up at the Sheraton Roanoke at 10:00 a.m. Wednesday, March 21, 2012.

Housing Policy - VCCS Employees Only

The Hotel Roanoke and Conference Center *

The VCCS room rate at the Hotel Roanoke and Conference Center for 2012 is $114 for single or double occupancy, and includes free Internet. A parking fee of $7.00/night is the responsibility of the individual. Please be aware of Hotel Roanoke’s strict cancellation policy: After Tuesday, March 6, 2012 at 4:00 p.m., one night’s room and tax is non‐refundable. If you need to cancel your room, your credit card will be charged one night’s room and tax. (If you must cancel, do so before March 6, 2012 at 4:00 pm to avoid a charge to your personal credit card.) 

* Due to the very limited number of rooms at the Hotel Roanoke and Conference Center, we have a room reservation lottery system. The room reservation lottery was created in an effort to make room distribution at Hotel Roanoke as equitable as possible, providing bona fide registrants with several weeks to apply, followed by a random drawing. The Sheraton Roanoke

The VCCS room rate at the Sheraton Roanoke is $99 single or double occupancy, and includes free Internet and parking.

What Is Covered?

Whether you are staying at the Hotel Roanoke or one of our overflow hotels, the VCCS will cover one night’s lodging and tax for every attendee whose campus is 50 or more miles from the Hotel Roanoke, full‐time and adjunct alike.

Attendees who share a room with another VCCS employee are entitled to two nights’ coverage (one night per employee). The name of the roommate must be listed with the hotel and be registered for the New Horizons Conference.

Attendees who book as a single are responsible for the second night’s accommodations themselves.

An email with complete instructions for claiming reservations will be sent to all winners Friday, January 13, 2012. Please remember that this lottery is not for a free room, only for a reservation at Hotel Roanoke. VCCS policy provides for one night’s lodging for each VCCS employee. To avoid out-of-pocket costs for the second night, we encourage sharing a room with a colleague so that both nights can be covered.
