How do you turn in a corrective maintenance work order? How do you know it was received?
Requests for corrective maintenance work orders should be forwarded to your Building Representative. Building representatives are appointed by the Dean for each academic building on campus. Once Facilities receives the appointment papers, a sign-on and a password to the Work Order system is assigned to them. Building representatives enter forward work orders customer to the Service Response Center using the on-line Work Order system , via the internet. . The Service Response Center Team will retrieve the work orders; and assign the work order to a shop for the execution. The shop will place it in queue for completion.
The building representatives can to track the status of the work requests in the work order system for their buildings. If you have a question, contact your building representative.
For Student Housing Residential Community buildings, requests should be reported to Regina Stapleton at 348-6188.

What types of services are provided by Facilities Operations and Maintenance?
Energy Management, Air Conditioning and Refrigeration Maintenance, Electrical and Elevator Maintenance, Heating and Plumbing Maintenance, Building Maintenance (roofing, carpentry, door rep a irs, ceiling tile , pest control, upholstery and any other I might have left off), Landscape and Grounds Maintenance, and Custodial Services, are performed by this department.
How do we initiate a funded work order?
When a department decides to do renovate an area, they will need to initiate a Project Initiation Request (PIR ) and submit it to Facilities the In-House Project Management Staff for an estimate. The Project Manager will create a PAF (Project Approval Form (PAF) , develop along with an estimate for the work, and return it to the department to provide the funding source.
Once you return the PAF with the funding source identified, the paperwork then goes to the accounting office to set up a budget and the Work Order will be processed. The PAF is returned to Facilities as a Funded Work Order to be processed.
What types of services are provided by Facilities Planning?
The Planning and Design department can assist you with interior and exterior projects. You must submit a PIR, and then a cost estimate will be provided for you. Once you receive the estimate, you determine if you want to proceed. The Planning Department will make sure your renovation is compliant with the University’s standards.
What types of services are provided by Facilities Construction Administration?
Construction Administration is responsible for the capital construction projects on campus. Project Managers oversee all aspects of the construction project from the bid to final inspections.
Who do I contact when I have a maintenance request?
You should contact your building representative. The building representative will initiate a work order.
What is considered an emergency call?
Emergency calls are those that involve potential threat or damage to life or property (gas leaks, alarms, water leaks, roof leaks etc.). During normal working hours they should be called in to 348-6001. After 5 PM they should be reported to UAPD, 348-5454.
Who do I contact when a job is incomplete?
Service Response Center should be notified first. If problems persist, contact the Director of Building Maintenance and Operations’ Office 348-8703.
What do I do when my office, lab, or classroom is too hot or too cold?
Contact your building representative.
How do I schedule air conditioning for my office?
Energy Management has established criteria for changing over to air conditioning. If you need an exception, please contact them.

Requests for estimates for major renovation can be obtained by filling out a Project Initiation Form and submitting to Facilities’ Construction Administration. Estimates for minor remodeling can be obtained by submitting a work customer request .

If you have a special requirement or event, please notify the Custodial Supervisor for your building and she will schedule the cleaning. There is no charge for this service.
Carpets are cleaned annually. If you have a special request, contact your building ’s custodial supervisor for a review.
How do I find out about campus signage?
Facilities Planning is charged with maintaining UA Standards for signage. You should contact planning at 348-8158 before placing any signs.

If you want to report a trip hazard contact the Service Response Center 348-6001. If you are calling in reference to handicap accessibility, please call the ADA Hotline at 348-5882.

Mr. Mark Beeler is the University Forester and would be able to advise you on tree preservation. His phone number is 348-6473.
Who do I contact about construction in process on campus?
The University Construction Administration is charged with project management of capital construction on campus. If you have questions about a project, please contact the project manager. Link to current projects list.

The University has a Furnishings and Design department. You may contact them at 348-6508.

Report the problem to your building representative.

Ask your building representative to help you initiate a a work customer request. Your department must fund this work.
My door is sticking and will not close, but I am out of town. How do I get this fixed?
Any problem should be reported via the building representative. If you are out of the office, you should ask the building representative to be available or reschedule the work for a time you can be there.
Can I get some landscaping or improvements done around my building?
You should contact the Landscape and Grounds department at 348-6007 and they will advise you.
I need some work done quickly due to a special event in the building or some other function. What do I do?
Ask your building representative to initiate put in a work order outlining the scope of work and time frame. We will contact you to discuss the work and provide an estimate. and specify needed for a special event. Then contact us to discuss the timeline.

This would be considered an emergency and you should call 348-6001 and report the problem. If it is after hours, please call the UAPD for emergency assistance 348-5454.
