I-9 Online for Employees
In order to complete section one of your I-9, you are required to have a social security number. If you do not have a social security number, please visit your HRMS (I-9) Specialist in your department for the completion of your form. Section one has to be completed no later than your first day of employment. Please contact Christine Langford, I-9 Specialist, at 434.924.4393 or crf6b@virginia.edu if you have any questions.
Step 1: Log into New I-9.
Step 2: Employer name or Code: University of Virginia or 14053.
Step 3: Enter the text shown in the box (this is for security purposes).
Step 4: Enter your name, address, date of birth and social security number. Check the citizenship box that applies to you:
A citizen of the United States: US Citizen.
A noncitizen national of the United States: Noncitizen nationals of the United States are persons born in America Samoa, certain former citizens of the former Trust Territory of the Pacific Islands, and certain children of noncitizen nationals born abroad.
A Lawful Permanent Resident: Permanent Resident of the United States (You will need your Alien Number or USCIS Number).
An Alien authorized to work: This box applies to F1, J1, H1b, EAD, Refugees/Asylees, E3 or TN holders.
- F1/J1 Holders: You will need your I-94 number and the expiration date from your I20 or DS2019.
- H1b, EAD, E3 or TN Holders: You have the option of using your I-94 number or your Alien/USCIS Number and you will also need to enter the expiration date.
- Refugee/asylee: You will need your I-94. In the expiration date, enter n/a since your employment authorization does not expire.
Step 5: Review the information entered. If you need to make a change, click on change information. If everything is correct, complete the Employee Electronic Signature box.
Step 6: This is the list of acceptable documents that you may choose from to present to your department based on the citizenship box that was
checked.
Step 7: Go to your department (HRMS/I9 Specialist) for the completion of section two no later than the third day of your employment. If the form is not completed by the third day, your employment will have to be terminated and you will not be allowed to work.
