Project Managers' toolkit

HOW WILL PROJECTS BE MONITORED AND EVALUATED?
Partnerships will be monitored and reviewed at regular intervals by British Council staff in-country. For the duration of DelPHE funding all projects will be expected to share information, including case studies and project highlights. Project managers may be asked by the British Council to participate in interviews about project activities.
The DelPHE annual reporting cycle runs from September to August. All projects are asked to complete reporting requirements as listed below. It is the responsibility of the lead partner to collate and submit all relevant information on time to the appropriate British Council overseas office. The lead partner must also confirm receipt of all project funds within two weeks of financial remittances sent by the British Council. This is a mandatory financial audit requirement. Failure to complete reports and confirm receipt of funds within stated deadlines may lead to withdrawal of funding. Please refer to the project managers' calendar for an overview of annual reporting deadlines.

A mid-year financial expenditure statement with any supporting documents.
An annual activity and financial plan (Excel). The spreadsheet should outline project activities and expenditure for the subsequent reporting year (September to August). This document will be added to throughout the lifetime of the project and will form the basis for how we monitor and evaluate projects.
You can download an example(Excel) of a completed project activity and financial plan to illustrate the type of information and level of detail required.
The lead partner must complete a progress report which should be submitted to your local DelPHE Manager. The progress report should include information about project activity that has taken place during the previous six months. Please refer to the reporting guidelines and the financial eligibility guidelines which will support you in completing the progress report.
A final end of year report must be completed when the project finishes. This focuses in more depth on outcomes and the longer-term impact of projects - asking for evidence of knowledge transfer; how project outputs will be practically applied for the wider benefit, and how the project has resulted in strengthened and sustainable HEI capacity. Please refer to the reporting guidelines which will support you in completing the end of year report.

To help you to provide evidence we will be asking you to share the following with us as your project progresses:

Publicity: images, blogs and web casts of project events as they happen. Please complete our photo release form to confirm that you are giving consent to the British Council for use of images on our websites.
Immediate feedback questionnaires for students attending new/revised courses or people attending training courses (template available to download shortly).
Actual numbers of women attending courses and participating in projects.
Evidence of exchange of ideas and information which can be measured through attendance at relevant regional conferences, collaborative research, adaptation of new practices across institutions and communities etc. Please note that we do not expect detailed technical reports!
