Spring Move Out

University Housing officially closes at noon on Saturday, May 11, 2013 for the Residence Halls and 5 p.m. on Sunday, May 12, 2013 for Apartments/Townhouses. Your Housing Contract officially ends at the time of closing.

Residents are encouraged to check-out within 24 hours of their last exam.

All residents are required to be checked out by noon on Saturday, May 11, 2013 for the Residence Halls and 5 p.m. on Sunday, May 12, 2013 for Apartments/Townhouses.

Residents may choose either Traditional or Express Check-out as explained below. Failure to follow these check-out procedures, or if you have not checked out by noon on Saturday, May 11, 2013 for the Residence Halls and 5 p.m. on Sunday, May 12, 2013 for Apartments/Townhouses, will result in a $50 improper check-out/failure to comply charge. Additional charges will be added for damage to the room, cleaning or lost key(s).

Traditional Check-out

Traditional Check-out allows you to discuss discrepancies with staff during the room inspection. Notations regarding damage or missing items will be listed on the inventory and charges will be assessed upon a final walkthrough. A supplemental slip will be signed at check-out acknowledging the student was present for a Traditional Check-out. Notification of charges will be emailed to your UIS email by May 31, 2013. With Traditional Check-out, you must sign up for a check-out appointment at least 24 hours in advance of your planned departure.

Residence Halls will have Check-out Sign Up Sheets located at the front desk of both halls.

Check-out appointment times for the Residence Halls will be from 10 a.m. – 9 p.m. Monday through Friday and 8 a.m. – noon on Saturday.

Apartments/Townhouses will use SignUp Genius to schedule their check-out appointments.

Check-out appointment times for the Apartments/Townhouses will be from 10 a.m. – 9 p.m. Monday through Saturday and 10 a.m. to 5 p.m. on Sunday.

Express Check-out

Express Check-out should only be used after hours and as a last resort. Express check-out envelopes can be picked up and returned to the front desk of your building (HCOM for Apartments/Townhouses). Express Check-out allows residents to check-out without signing up for an appointment with their RA. You must have your room clean and clear of personal belongings and return your room/apt/mail key(s) for your records to be properly cleared. A note of caution—with ease and convenience comes the responsibility of making sure the room is absolutely clean to ensure proper check-out.

By choosing Express Check-out, you agree that you are waiving your opportunity to be present at the time the room will be checked and inspected for damages, and that you are waiving any right to appeal charges that may be assessed. Damages found during later inspection will be billed, and you agree to pay or share costs with your roommate(s) and/or suitemates for assessed damages, cleaning and/or missing furniture.

Move Out Checklist

The following is a list of items that you must complete before you can be checked-out without incurring extra charges:

  • Sign up at the front desk or SignUp Genius for a check out appointment.
  • Remove everything that is yours from the room, if it is still usable and you don’t want it, take it to the designated locations for “Go Green and Go Home”.
  • Bag your trash and take your trash to the trash room/dumpster.
  • Sweep and mop your floor.
  • Wipe down your windows, sills, furniture and any shelving.
  • Don’t forget to clean out your closet and drawers.
  • Do not leave your personal rugs in the room, if you don’t want it take it to the dumpster!
  • Take all adhesive materials off of the walls and doors.
  • Clean anything that’s dirty.
  • Check out at your scheduled time with the RA you signed up with.
  • For those students residing on campus for the Summer, please follow up with your RD to discuss your transition to Summer Housing.

Packing and Cleaning Tips

When you check-out of your room, it should be returned to the way you found it at the beginning of the year. The RA will be checking to make sure your space is clean and will assess charges for any cleaning needed and all damages. If you are the last one out of the room and your roommate didn’t help you clean it, you are still responsible for making sure it is done. Here are some helpful hints to make the process easier (and to help you avoid check-out charges).

  • Start early: Begin taking or sending items home that you will not need for the rest of the year.
  • Boxes: Find boxes to pack your belongings to make the move easier and faster.
  • Trash: Trash should be thrown away in the trash room/dumpster. Charges will be assessed for trash left behind.
  • Personal Items: Any personal items left behind will be stored for 30 days. Charges will be assessed.
  • Donations: Consider donating your unwanted, usable items in the “Go Green and Go Home” donation bins.
  • Sink and/or bathroom: All bathrooms should be clean at the time of checkout. The shower curtain should be clean and hung up. Also, if you brought your own toilet seat or shower head, the original toilet seat and shower head must be returned and properly attached. Use non-abrasive cleaners such as Soft-Scrub or 409. Do not use abrasive cleaners such as Comet or Ajax on your sink/shower.
  • Mail Forwarding: Please change your mail forwarding address with USPS as part of the check-out process at the Department of Residence Life Office. First-class mail will be forwarded to the address specified for 30 days. All other mail (including magazines and newspapers) will be returned to the Post Office. You need to contact newspaper and magazine publishers to get your subscriptions sent to your new address.

Parking While Moving Out

No parking is permitted on sidewalks or grass on campus.

When moving out of the Residence Halls, please limit your time to a maximum of 20 minutes to load your vehicle.

Appeals

Got Charges? Think you shouldn’t? This is the appeal process.

When a resident agrees to occupy a space in Housing, the resident also agrees to follow all University policies. This includes, but is not limited to, accepting responsibility for fines from policy or procedural violations and damages to the resident’s room, floor or building.

Residents who wish to appeal charges placed on their student account may submit an appeal using the Appeal Form.

All Residence Life Damages Appeals must be received within 30 days of the initial notification of charges.

All decisions made by the Residence Life staff are FINAL and there is no further avenue of appeal. Please note that a request for release from financial obligations will not automatically be granted. Granted appeals are unique exceptions whose circumstances warrant special consideration. It is in the resident’s best interest not to ignore or avoid payments to the Office of the Bursar prior to receiving an official decision from the Residence Life staff.

FAQs

Q: Are there any exceptions for students who need to stay past May 12th?

A: Current housing residents must obtain approval from their respective Residence Director to remain in housing past the above mentioned closing dates and times. Failure to obtain approval will result in a $50 improper check-out/failure to comply charge.

Q: How do I avoid check-out charges?

A: Here are some handy tips to avoid any check-out charges.

  1. Don’t be late: Being late for your check-out appointment will result in a $25 improper check-out charge. Failure to check-out by noon on Saturday, May 11, 2013 for the Residence Halls and 5 p.m. on Sunday, May 12, 2013 for Apartments/Townhouses will result in a $50 improper check-out/failure to comply charge.
  2. Clean it up: Have your room clean and free of all trash and belongings. Remove tape and stickers, dust surfaces, empty your trash cans, clean your sink or bathroom, etc. Failure to leave your room clean (as you found it when you moved in) will result in cleaning charges ranging from $30 to $100+.
  3. Turn in your key(s): Turn in your key(s) at the time of check-out to avoid a $125(minimum) lost key charge.

Q: How can I avoid paying for damages caused by my roommate?

A: To ensure that this doesn’t happen, you will need to communicate with your roommate(s) in advance to divide check-out and cleaning responsibilities equitably. Sign up for a Traditional Check-out appointment accordingly. During check-out, you will need to discuss any damage concerns with the Resident Assistant.

Q: How do you determine if there is a charge in my room?

A: Staff rely on the room condition inventory that you completed during check-in for assessing damages and charges at check-out. Students were given 24 hours after check-in to notify of any additional damage. Resident Assistants report the condition of the room during check-out and charges, if any, are determined by the Residence Directors after the review of any supplemental paperwork submitted.
