Special Events in ITS Classrooms

Requests for Codes and ITS Usage

The Integrated Teaching Systems (ITS) are available for use by instructors and departments for all events that fit within the academic mission of the university. This includes but is not limited to, catalog listed courses, seminars, guest lectures, faculty candidate presentations, and dissertation defense. We consider other uses of the classrooms to be "special events." A number of special events take place on campus every day of the year. When these events require audiovisual support in the campus-managed classrooms, our office is often involved.

The following is a summary of the guidelines for special events:

  • We are only able to provide codes to University of Illinois at Urbana-Champaign Faculty, Staff, or Graduate Teaching Assistants. Someone who meets these requirements may request the code via our website. The faculty/staff person must be present the entire time that the event is taking place to monitor the equipment and lock up when it is done.
  • Many RSOs wish to make use of the ITS equipment in campus classrooms. Although undergraduate students are not allowed to have the ITS access codes, the group may enlist a faculty or staff person to serve as an audiovisual operator. If you do not have a faculty/staff operator or would just prefer to hire one of our operators, we may be able to provide one for a charge of $25 per hour.
  • Groups not affiliated with the university will be charged $50 a day per room to use the equipment for special events, plus a $25 per hour operator fee as listed above. Events that assess a charge to participants will be charged the $50 equipment usage fee, regardless of affiliation.
  • Requests should be made at least a week in advance to ensure that your request is processed in time for your event. If you choose to use our services and a fee is assessed, your FOAPAL account number will need to be provided prior to the event. Groups not affiliated with the university will need to contact our office to discuss billing options. We are located in 2314 Digital Computer Laboratory. Our email is classtech@illinois.edu.   • There are a few no cost alternatives. In a few classrooms (English 104, 108, 259 and DKH 215) you are able to use the equipment without any codes; however, there are no resident computers in these rooms. An LCD Projector and a DVD player are present, but you will need to supply your own laptop computer. Additionally, many of the rooms in Siebel Center, while not having the ability to access the computer directly to play a DVD, have an exposed USB connector to load/play PowerPoint and other files. As another option, if you are with a Registered Student Organization, you may borrow a portable LCD projector from the RSO office and hook it up to your own laptop for free.
